Managing Team Members

Everything about the people in your workspace lives under Settings → Team. You need to be an Owner or an Admin to change anything here.

Make sure the right organisation is selected in the workspace switcher first — the team page always shows the workspace you are currently in.

The team list

Settings → Team lists everyone in the workspace with:

  • User — their name and avatar. An "Invite sent" badge means they have not signed in yet. Click the name to open their member page.
  • Podcasts — a chip for each show they have been added to, with the role they hold on it. Owners and Admins have no chips: they can already see every show.
  • Role — their workspace role, as a dropdown you can change in place.
  • Remove — takes them out of the workspace.

Inviting a team member

  1. Click Invite team member on the team page (or reach the same form from Invite someone new… inside a podcast's notification list, which pre-selects that show)
  2. Enter their email address, and optionally their first and last name
  3. Choose a Workspace role — Member, Admin, or Owner if you are an Owner yourself. Member is the default and is right for most people.
  4. Under Assign to podcasts, tick each show they should have access to and pick Manager or Viewer for each. New assignments start as Viewer.
  5. Leave Send report emails ticked if they should be emailed whenever a report finishes for those shows. It is on by default, and they can mute individual shows later.
  6. Click Invite

They will receive an invitation email. Until they accept it and verify their email address, they appear in the list with an "Invite sent" badge and will not receive any report emails — the notification list shows them with a "Pending" badge until then.

Assigning podcasts during the invite is optional. If you skip it, a Member arrives with no podcast access at all and you can add them to shows later from each podcast's settings page.

The member page

Click anyone's name in the team list to open their page at Settings → Team → their name. It has three sections.

Workspace role

The same Owner / Admin / Member dropdown as the list. Options that are not available to you are greyed out with an explanation — for example, only an Owner can grant the Owner role, and the workspace's last Owner cannot be demoted.

Changing someone's role changes what they can do immediately. Promoting a Member to Admin gives them every podcast in the workspace; demoting an Admin back to Member leaves them with only the podcasts they hold an explicit grant on.

Workspace permissions

Two tick boxes:

  • Run reports (including on uploaded files)
  • Enhance audio (including uploaded files)

Both spend the workspace's shared credits, which is why they are granted per person here rather than per podcast. Granting one lets that person use it on uploaded files, and on any podcast they can already see — it does not widen which shows they can see.

These boxes are only editable for people whose role is Member. For an Owner or Admin they show as ticked but fixed, because their role already grants both across the whole workspace; change their role if you want to change that.

Podcasts

Every show this person holds a grant on, with the role they hold, linking through to that podcast's settings. Members with no grants get a prompt telling you to add them from a podcast's notification settings; Owners and Admins get a note that they can already see everything.

To add someone to a podcast, or change the role they hold on one, go to that podcast's settings page — see Podcast Access and Report Emails.

Changing someone's role

Use the Role dropdown either in the team list or on the member's page. The rules the form enforces:

  • Admins can change anyone's role except an Owner's
  • Only an Owner can set someone to Owner
  • The last remaining Owner cannot be changed to anything else

When you promote someone to Admin or Owner, any workspace permissions they were granted individually are absorbed into the role — they now hold them because of the role, so the tick boxes become fixed rather than editable.

Removing a member

Click Remove on their row in the team list and confirm. They immediately lose access to the workspace's dashboard, podcasts and reports, and stop receiving its report emails.

  • You cannot remove yourself
  • Admins cannot remove Owners
  • An Owner cannot be removed while they are the only Owner

Removing someone does not delete any reports they created — those belong to the workspace.

Deleting the organisation

Renaming the workspace is available to Owners and Admins at Settings → Organisations. Deleting it is Owner-only, and removes the workspace along with its team, podcast links and reports. If your organisation has a live subscription, cancel it from the billing page first.
